Tutoring Invoice Template: how it works

Parents paying for tutoring want to see exactly which sessions they are paying for. A monthly invoice listing each lesson by date, subject and duration answers that before they ask. QuickInvoice makes the quantity field do the work: 1.5 hours at your hourly rate calculates itself, and the total updates as you add sessions.

It is free and runs in the browser with no sign-up. Save each student as an invoice, reload it next month and change the dates.

How to lay out a tutoring invoice

Keep the structure the same every month so families recognise it:

For group tutoring, bill each family their share rather than the whole group on one invoice.

Payment terms and record-keeping for tutors

Most private tutors bill monthly in arrears with payment due within 7 days, or in advance for packages. Say which in the notes and list how to pay: bank details, a payment link, or cash. If you offer a sibling or referral discount, apply it with the percentage discount field so it is visible rather than silently lowering your rate.

Number invoices sequentially; at tax time you need the year's total, and families sometimes ask for annual statements for education savings accounts or employer reimbursement. Save invoice keeps a copy in your browser. Tutoring is usually exempt from sales tax or VAT as an educational service, but rules differ by country, so confirm before leaving the tax field at zero.

    Frequently asked questions

    How do I bill a 45-minute lesson?

Enter 0.75 as the quantity and your hourly rate as the unit price. The amount calculates automatically.

Can I invoice several students from one family?

Yes. Add lines for each student's sessions and name the student in each description, so one parent gets one invoice.

Can I give a discount for a block of sessions?

Use the discount field: % for a percentage off the subtotal or Fixed for a set amount. It appears as its own line in the totals.

Do parents need an account to pay?

No. The invoice is a plain PDF. Put your bank or payment link details in the notes and they pay however you prefer.
