Requirements vary by country, but a valid, professional invoice almost always contains the following elements. Missing any of them is the most common reason invoices get bounced back by an accounts department.
Each invoice needs a unique, sequential identifier such as INV-0042. Tax authorities in most jurisdictions require sequential numbering with no gaps, and clients use the number to reference payments. Never reuse a number, even if an invoice is cancelled: issue a credit note instead.
The issue date establishes when the payment clock starts and which tax period the sale belongs to. The due date makes your expectations explicit. "Net 14" or "Net 30" are common, but a specific calendar date is clearer and easier to chase.
Your legal business name, address and contact details, plus the client's legal name and billing address. If you are registered for VAT, GST or sales tax, your registration number is usually mandatory. In the EU, B2B invoices typically also need the customer's VAT number.
Each line should describe what was delivered, the quantity or hours, the unit price and the line total. Vague descriptions like "consulting" slow approval; "Website redesign – 5 pages, delivered 12 Oct" gets paid.
Show the subtotal, any discount, the tax rate and tax amount as separate lines, then the grand total in a clearly labelled currency. If a sale is tax-exempt or uses reverse charge, say so on the invoice.
State the accepted methods (bank transfer, card, PayPal), the account details, any late-payment fee, and a short thank-you. The notes field at the bottom of the invoice is the right place for this.
