Invoice Generator for Photographers: how it works

A photography invoice has more moving parts than most: a session fee, retouching, licensing, prints, travel, and usually a deposit paid weeks earlier. QuickInvoice lets you list each as its own line item, subtract the retainer as a fixed discount, and send a PDF that matches the quote the client already approved.

The tool is free and runs entirely in your browser. Upload your logo once, pick an accent color that matches your portfolio site, and the next invoice takes under a minute.

What to include on a photography invoice

Clients approve invoices faster when every line matches the shoot they remember:

Finish with a due date and the payment methods you accept.

Deposits, sales tax and delivery terms

Most photographers collect 25–50% up front. Rather than creating a second invoice, show the full price and apply the deposit as a fixed discount, labelled in the notes ("Retainer received 12 March"). The client sees the agreed total and the remaining balance on one page.

Tax treatment varies: in many US states physical prints are taxable while the session is not, and VAT-registered photographers in the UK and EU charge VAT on the whole service. Use the tax field for the taxable portion and state the rule in the notes.

Say when files are released. "Edited images delivered within 14 days of final payment" saves you from chasing balances after delivery.

    Frequently asked questions

Can I add my photography logo and brand color?

Yes. Upload a PNG, JPG or SVG logo and choose an accent color. Both are saved in your browser, so every future invoice uses them automatically.

How do I show a deposit the client already paid?

Set the discount type to Fixed and enter the deposit. The invoice shows the full price, the deduction and the balance due.

Should I invoice per image or per session?

Both work. Use quantity for per-image pricing (40 retouched images × $8) and a single line with quantity 1 for a flat session fee.

Is the PDF good enough for corporate clients?

Yes. It is generated through your browser's print dialog at full resolution, with logo, sequential number, dates, totals and tax clearly laid out.
