Invoice for Graphic Designers: how it works

For a designer the invoice is part of the deliverable: a clumsy one undercuts the brand you just built. QuickInvoice lets you set your logo and an exact hex accent color, choose a template and see the result live before exporting a PDF. It also handles the awkward parts of design billing, like separate lines for concepts, revisions and usage rights.

It is free, requires no sign-up and runs in your browser. Logo and client details are stored locally and reused on the next invoice.

Line items that prevent scope creep

Vague invoices invite vague expectations. Split the work into the phases your proposal described:

Add a note that files are released on cleared payment. It is the most effective line a designer can put on an invoice.

    Branding the invoice itself

Upload your logo as an SVG if you have one; it stays crisp in the PDF at any size. Type your brand hex value into the accent color picker for an exact match. The accent is used for headings, rules and the totals block, and the body stays neutral.

The Classic template is free; Modern and Minimal come with the one-time Pro upgrade, which also removes the small "Generated with QuickInvoice" line. Whichever you use, check the PDF at 100% before sending: the preview is what prints, but a quick look catches a logo that is too tall or a description that wraps. Save the invoice and duplicate it for the next project; the line structure of a brand identity job rarely changes.

    Frequently asked questions

Can I use my exact brand color?

Yes. The accent color field accepts any hex value, and the preview updates immediately.

    How should I invoice revisions?

List included rounds at 0.00 so they appear, then bill additional rounds as separate lines at your rate. Clients rarely argue with charges they were warned about.

Does the logo upload work with transparent PNGs?

Yes. PNG, JPG, SVG and WebP are supported; a transparent PNG or SVG looks cleanest on the white invoice.

Is the PDF suitable for printing?

Yes. The print stylesheet is sized for A4 and US Letter. Choose Save as PDF in the print dialog or print directly.
