Freelance Writer Invoice Template: how it works

Writers rarely bill one thing at a time. A typical invoice covers three posts at different word counts, a revision round and a rush fee, sent to an editor who forwards it to accounts payable. QuickInvoice gives you a line per piece with quantity and unit price, so 1,200 words at $0.25 per word calculates itself.

It is free, needs no account and runs in your browser. Client details and invoice numbers are remembered locally, so the next invoice to the same publication is mostly prefilled.

How to structure a writing invoice

Editors approve invoices by matching them to commissioned work, so name each piece as it was briefed:

Add the period covered ("Work delivered 1–31 May") so the invoice is easy to file.

Payment terms, late fees and kill fees

Net 30 is standard for publications and agencies; direct clients often accept net 14. QuickInvoice defaults the due date to 14 days, so change it to match what you agreed and state the terms in the notes: "Payment due within 30 days. 1.5% monthly interest on overdue balances." A late fee you never mentioned is unenforceable.

If a commissioned piece was cancelled, bill the kill fee (commonly 25–50% of the agreed rate) as its own line and name it. Keep invoice numbers sequential across all clients; gaps and duplicates cause problems at tax time. For international clients, pick the currency they pay in; USD, EUR, GBP, CAD, AUD, INR and more are formatted correctly.

    Frequently asked questions

How do I bill per word?

Enter the word count as the quantity and your per-word rate as the unit price. 1,500 × 0.20 = 300.00 appears automatically.

Can I save my regular clients?

Yes. Saved invoices keep the client details. Reload a previous invoice, change the items and number, and you are done.

Do I need to charge tax as a freelance writer?

It depends on location. Many US freelancers don't collect sales tax on writing services; VAT-registered writers in the EU or UK usually must. Use the tax field only if it applies.
